Accounts Payable Coordinator
Haymarket Media, Inc. is seeking an Accounts Payable Coordinator to join the Accounting team. This position is located in our New York, NY office, with two days on-site (Tuesdays and Wednesdays) and three days remote.
Job Overview:
The Accounts Payable Coordinator for Haymarket Media has experience with purchasing and receiving processes in relation to invoice posting and invoice payment processes. Practices an ability to work well with others to ensure a corporation’s financial health.
The main focus of the job is to organize and process incoming invoices. Ensure timely payments. Create vendor profiles. Ensure proper support documentation exists for all transactions. Further they should be able to support the actions of other business team members by tracing system transactions to identify the sources of potential errors.
Responsibilities:
- Organize incoming invoices, new vendor requests and inquiries in Google gmail
- Process invoices and match to corresponding PO/Goods receipt(s) .
- Create vendors using Business World accounting system. Work with internal purchasers and contracts dept to establish and maintain vendors.
- Handle accounts payable inquiries from external vendors and internal purchasers across multiple brands.
- Monitor invoice workflow process for bottlenecks.
- Prepare payment proposals in Business World utilizing excel to ensure timely payments in accordance with established payment terms.
- Utilize Citizens banking software to process domestic and international wires and ach payments and payment templates.
- Troubleshoot and reconcile bank payment issues
- Assist with accounting audit requests.

- Basic excel skills
- Basic data entry skills
- Articulate communicating via email
- Attention to detail
- Familiar with ERP/workflow system processes
- Proficiency working in Google Gmail and shared files
- Experience with general ledger entries
