Title: Rotational Analyst / Operations

Analyst
Positions: Four – Six
Purpose: The Rotational Analyst position will introduce the incumbent to a variety of internal departments providing an integrated view of how Monarch operates collectively. Upon completion, the Rotational Analyst will understand how each department functions, contributes and interacts, with exposure to senior leaders and our founders. The primary objective is to instill experience, skills and abilities necessary to coordinate and engage with any department and any role within the company. The incumbent shall exhibit hardworking and self-motivated traits, with a strong academic background who and possess an organic passion for real estate investment and management.
Essential Job Duties, Responsibilities and Rotations:
1. Training Rotation:
· Anticipated Aggregate Duration: three-weeks
· Duties may include but not limited to:
· Witness a seasoned Roving Property Manager/Trainer train a less experienced property managers on-site, and/or substitute an absent property manager position for approximately one-week. Thereafter the Rotational Analyst and the Property Manager Trainer shall recap the operational idiosyncrasies of the aforementioned week, highlight any efficiencies and/or inefficiencies therein, in an effort to conceptualize achievable operational sublime, thence conclude the week with an intimate review and simultaneous comprehension of the Property Manager Checklist;
· Witness a seasoned Roving Lease Consultant train a less experienced lease consultant on-site for approximately one-week. Thereafter the Rotational Analyst and the Lease Consultant shall recap the operational idiosyncrasies of the aforementioned week, highlight any efficiencies and/or inefficiencies therein, in an effort to conceptualize achievable operational sublime, thence conclude the week with an intimate review and simultaneous comprehension of the Lease Trainer Checklist;
· Confer with a Systems Software Trainer for exposure to workflows & procedures via YARDI property management software, as well as company-specific property management, accounting business processes and residential & financial modules as they relate to onsite property operations, which may include: Payment Processing, Invoice payments, Resident Screening, CRM, Rent Café, etc.”
2. On-Site Property Management Rotation: Work alongside a seasoned property manager and fellow site-staff members at a relatively “challenging” property. There, the Rotational Analyst will build upon the training they instilled from the Property Management & Lease Consultant Rotation prerequisite. They will witness a variety of challenging situations and idiosyncrasies the property may be exposed to and how they should be mitigated, while maintaining sound resident relations and satisfaction.
· Anticipated Aggregate Duration: three-months
· Duties may include but not limited to the following:
· Working daily with the Property Manager and Leasing staff tackling day-to-day duties which may include accounting for and posting accounts receivables, procurement of leases for prospective and renewing residents, implement customer service efforts, aid in managing delinquent resident ledger(s), interface with property management and ancillary software (namely Yardi), implement marketing efforts, process maintenance work requests, procure and manage maintenance personnel schedule and duties, ascertain & internalize financial reports and performance metrics, etc.;
· Shadowing or aiding maintenance-staff which may include responding to and completing work requests, preparation of recent vacated apartment unit for subsequent resident(s), maintenance of common areas, preparations for a potential third-party inspection(s), engage with local vendors, etc. The Rotational Analyst will be expected to physically complete labor intense maintenance related duties, e.g. painting of units, debris removal, groundskeeping, housekeeping duties, repairs/replacement of the following: electrical, plumbing lines, plumbing fixtures, light fixtures, appliances, etc.;
3. Accounting Rotation: Utilizing the prerequisite Training and Onsite rotations, the Rotational Analyst will explore and learn how the accounting process functions at the corporate level. Having prior on-site operational experience and previous exposure to site-operations and Yardi software, the incumbent will build a foundation for understanding how the accounting department receives pertinent accounting information from the field for comprehensive financial reporting purposes.
· Anticipated Aggregate Duration: three-months
· Duties may include but not limited to the following:
· Assist in the preparation and review of periodic reports for investors and management;
· Develop and maintain a variety of spreadsheets, databases and/or other systems to track performance and compliance with general business operations;
· Respond to specific request or from Asset/Regional Managers and accounting staff for ad hoc analysis or custom report development;
· General, mundane accounting and clerical related work;
4. Database and Reporting Rotation: Now having a foundation for site operations and an intimate understanding of our property management and accounting software, the Rotational Analyst will be able to aggregate data portfolio-wide to gauge metrics and performance, thence disseminate to the field in a summarized format.
· Anticipated Aggregate Duration: three-months
· Duties may include but not limited to the following:
· Periodic and/or ad hoc reporting of the following reports: companywide reports including collections, weekly (Monday) report summaries, occupancy, cash cushion reports, renewal and property performance reports, etc.;
· Maintaining investor data within our accounting database (Yardi), as well as basic accounting tasks;
· Coordinating organizational structure on new, refinanced and existing assets;
· Specific projects meant to improve overall knowledge of company operations;
5. Marketing Rotation: As an ancillary, the Marketing Rotation will provide insight to current and new marketing efforts, the process to bring a marketing idea to fruition and how each initiative adds value to each property and the portfolio as a whole.
· Anticipated Aggregate Duration: two-months
· Duties may include but not limited to the following:
· Analyze digital and print materials being used at communities and make recommendations;
· Conduct website audits and update website content as needed;
· Modernize and/or update social media ad campaigns;
· Assist with reputation management projects as needed;
· Become familiar with Yardi Marketing related programs such as CRM, Rent Café, etc., in a marketing capacity;
6. Project Analyst Rotation: The Rotational Analyst will apply all of the skills and knowledge gathered thus far to assist in projects and other ad hoc tasks delegated by one or more Asset Management team(s). Having prior pertinent experience and knowledge of how all the various operational facets are synchronized and aligned, the Rotational Analyst will be in a position to contribute quality production with merit.
· Anticipated Aggregate Duration: three-months
· Duties may include but not limited to the following:
· Analyze property financials for abnormalities, anomalies and trends;
· Work with regional and/or on-site management staff to analyze and make any necessary suggestions for more efficient operational processes;
· Provide financial/operating/market data analysis to enhance operations and identify opportunities to maximize value;
· Exercise discretion and independent judgment relating to property management matters;
· Identify and analyze prospective investment opportunities;
· Manage ad hoc ancillary project(s), e.g. the acquisition or refinance with a “green” financing, which requires the asset to reduce energy consumption by a minimum of 20%. Thus, coordinate with vendors and site-staff to implement an effort which will reduce energy consumption at or beyond the threshold as required by the lender, e.g. replacing existing shower-heads, aerators, commodes, etc. with energy efficient components.
Ancillary/Elective Rotations:
· Real Estate Analytical & Financial Concepts: Overview of Real Estate related concepts, which may include but not limited to: Cap. Rates, Amortization Schedules, Underwriting, Prorations, Income Property Analysis, Property Operations, Valuations, Financial Leverage, etc. Anticipated Aggregate Duration: one (1) week.
· Internal Inspection Rotation: As an ancillary rotation, the incumbent will travel alongside our internal property inspectors who visit each property within the portfolio on an annual basis. The objective is to develop a keen eye for potentially problem issue(s) which may adversely impact the integrity of the property if not mitigated. Anticipated Aggregate Duration: one (1) week.
· Payroll Rotation: An ancillary overview of duties performed by the Payroll Coordinator, becoming familiar with key payroll related functions. Anticipated Aggregate Duration: one (1) week.
· Regional Manager Training Rotation: in an effort to enhance overall comprehension of site and regional operations the Rotational Analyst will undergo Regional Manager training, a three-day overview of Regional Manager duties and expectations, with senior Regional Manager staff. Anticipated Aggregate Duration: one (1) week.
Supervisory Responsibilities: Duties may include but not limited to train(ing) and/or supervise(ing):
· Forthcoming Rotational Analysts regarding elementary aspects of a particular rotation in which the incumbent is nearing completion or has already completed
· Seasonal interns regarding site-level operations and/or elementary aspects of a particular rotation in which the incumbent is nearing completion or has already completed
· The initiation and completion of contract work conducted by third-party vendors
· Scheduling portfolio-wide roving maintenance crew(s) at various properties
Knowledge, Skills and Experience required (unless otherwise noted):
· General interest in real estate investment and management
· Bachelor’s degree in finance, accounting, real estate, management and/or related field
· 0-3 years of job and/or internship experience in a related field
· Familiarity with Yardi accounting/property management software is preferred, but not required
· Self-motivated individual who is detail-oriented, has strong organizational skills
· Intermediate to Advanced skills in Microsoft Excel and data analysis
· Ability to develop, maintain and foster relationships with site & corporate employees
Physical Demands / Work Environment:
The physical demands described herein are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.
· For approximately one-month, work with on-site maintenance staff and perform maintenance related duties. The remainder will consist of an office environment.
· Be willing to reside on-site for approx. 3-consecutive months; you will be given an apartment unit.
· Travel for the first-year may be a possibility, but advance notice will be given
· Must be able to work independently at times
· Working conditions are normal for a fast-paced office work environment
· Will be required to travel via commercial aircraft on a periodic basis
