Position OverviewThe Executive Assistant, Development plays an active role in the New Museum’s Development Department, providing support to a dynamic fundraising program and service to our growing donor community.The ideal candidate is professional, adept at multi-tasking, detail-oriented and efficient, with strong skills in Raiser’s Edge for gift processing, querying, exporting, and reporting. The Executive Assistant, Development provides administrative support for department director and capital campaign leadership and supports department and campaign activities and information management. This role reports to the Director of Development and the Director of Campaign Advancement.Primary working hours will be 40 hours/week, usually 10:00 a.m. – 6:00 p.m., Monday through Friday; the position requires some flexibility to work on weekends and evenings, when necessary. This is a unionized position and is eligible for the Museum’s employee benefits programs.Primary Tasks/Responsibilities: Provide administrative support and manage principal scheduling for Campaign and Department leadership Enter data and process gifts in Raiser’s Edge; managing invoices, acknowledgements, and donor creditingEnsure the integrity of Campaign systems: donor files, calendars, mailing listsCreate timelines, administrate production tasks, and manage interfacing of Campaign teams, internal and externalAdminister Campaign meetings and all follow-up, generating agendas, prepping materials, coordinating mailingsSupport donor communications, including VIP and Museum-wide events and guest listsCoordinate and ensure membership fulfillment, general and corporate Provide department administrative support of membership communicationsDesign queries, exports, and reports in Raiser’s Edge to support donor engagement, prospecting and cultivationConduct donor/prospect researchBe an informed, professional, and reliable steward for New Museum donorsQualificationsBachelor’s degree and at least 3 years’ experience working as an executive assistant, in high level customer service and/or donor development or other high-paced field is required. Proficiency in Raiser’s Edge and Microsoft Office, is essential. Experience with event software (e.g. Zkipster, Splash, Social Tables) and project manager software (e.g. Asana, BaseCamp) strongly preferred. We are looking for a candidate who is able to completely honor confidentiality on all levels; has a superior work ethic (reliability, punctuality); has enthusiasm for the work and a high level of professionalism.Strong candidates must have excellent communication skills (verbal and writing); superb organizational and project management skills; the ability to manage multiple projects simultaneously; outstanding attention to detail; and experience with invoicing and processing payments. An appreciation for and interest in contemporary art is highly desirable; ability to work productively with diverse constituencies is essential.
